What is Email List Hygiene?

Email list hygiene is a act of removing contacts from your email list to improve your email deliverability

Why would I want to remove contacts from my email list to improve email deliverability?

The reason you want to remove contacts from your email list is because they are no longer engaging with your emails. Now that internet service providers are tracking engagement, If you continue to mail email addresses that do not engage with your emails it will decrease your sender score.

When you score decreases, this decreases the number of emails delivered to the contacts that would normally have opened or clicked your email.

With sender score having an increased role of getting your email delivered to the inbox, leaving these un-engaged contacts on your email list becomes more of a liability than an asset.

Removing these liability contacts will increase your sender score with each email service provider your send to giving your quality contacts the best possible chance to receive your emails.

What is Automatic Email List Hygiene?

Automatic email list hygiene in responsemagic.com email marketing system will automatically track the engagement with each individual contact on your email list.

If they have received 7 email messages and have not engaged in any way with your emails resonsemagic.com will set this contact to pending status on your email list.

Which means you will no longer send emails to this contact via your auto-response email campaign or your broadcast emails.

This ensures that you always have a clean engaged senders score.

responsemagic.com does not require that you turn automatic email list hygiene on however the reward for doing so is that your emails will be sent from a set of servers dedicated to servicing customers with hygienic email lists.

This means the cleanest most reputable servers will send your email when you turn this feature on.

A no brainer that I will be doing with my own email list.

How to Use Automatic Email List Hygiene

Automatic list hygiene is simple, just register or login at responsemagic.com.

Joan writes,

I am in the process of creating my Capture page, etc.

This is all new to me, as far as creating info.

Is it best to just request a first name & e-mail, or better to request 1st, last name, e-mail & phone number.

I like to be able to call people.

I assume this info can be changed in the future.

I don’t want to scare potential business partners off by asking for too much info.

Thank You

This is a great question Joan,

You are correct in thinking that phone number might decrease your opt-in rates.

I’ve had phone number decrease opt-in rates by up to 50% in some offers.

Here is the deal

You need to measure the metric that makes the most sense to your business goals.

If your goal is to build a large audience that knows likes and trusts you by providing exceptional content, you might want to go with email only.

But if you want to convert as many possible leads into sales as quickly as possible, and you are going to be calling every lead, I think getting phone number is important.

The other option is to do a hybrid where you make phone number (optional).

This allows you to call all of the people who want to receive a call without losing anyone who just wants to join your email list.

At the end of the day each business is different so you just need to try all three to see which one delivers the best result for your business goals.

I suggest that you create 3 capture pages that have that same offer to try each of these methods for your business to see what works best

On July 1st, 2014 the Canadian Anti-Spam Legislation (CASL) will be in effect and is applicable to anyone who uses commercial electronic messages.

It effects you not only if you are Canadian but if you have any Canadians in your email list.

Even if your business is based in the U.S. or any other country it still applies to you.

What is Canadian Anti-Spam Legislation (CASL)?

CASL is a new anti-spam law that will apply to all electronic messages sent in connection with a “commercial activity.” Its key feature requires Canadian and global organizations that send commercial electronic messages within, from or to Canada to receive consent from recipients before sending.

What you need to do is as simple as 1,2,3

1. Update how you collect email addresses

For all Canadian email addresses added to your email marketing database after July 1, 2014, CASL requires you to document consent, either implied or expressed.

Implied consent is inferred based on actions, such as having an existing business relationship (making a purchase or donation, for example). In order to maintain implied consent a contact must take a business action with you at least once every two years.

Express consent is obtained when you explicitly ask your potential contacts for permission to send them email, and they agree. Once you obtain express consent, it is good forever or until someone opts out.

When possible we recommend obtaining express consent.

In order to obtain express consent when collecting email addresses — online and offline — make sure you can answer “yes” to the following questions:

Make sure your sign-up form has clear and obvious language asking for permission to send the contact future electronic messaging?

Make sure your form clearly identify the person, business, or organization asking for the consent?

Make sure your form contain a valid mailing address and either a telephone number, email address, or web address?

Make sure your form indicate that there will be a mechanism for people to easily unsubscribe at any time?

Make sure you have a process in place to document this express consent?

When you use ResponseMagic to create a sign-up form or capture page after July 1st, 2014 to collect email and mobile phone numbers it will contain the necessary information and you will have a record of the prospects expressed consent that will be tracked and stored in the database.

Here is what we will automatically be putting on our opt-in forms and response magic generated capture pages:
I agree to give John Smith permission to send me future emails.
I understand I can opt-out and any time in the future.
Address of user, email of user.

If you are using any methods other than the ResponseMagic sign-up form such as a third party sign-up form, manually adding contacts, manually uploading an Import CSV file or Paper sign-up form, you’ll need to make sure you’re adding the appropriate Canadian Anti-Spam Legislation (CASL)-compliant language to all of these methods. You will also need to be able to retrieve this information if required.

2. Get Consent from Existing Canadian Contacts

For contacts added prior to July 1, 2014 you must be able to document expressed consent before July 1, 2017.
Expressed Consent = The contact opted-in

If you collected all of your email subscribers using and opt-in form on ResponseMagic you are already ahead of the game because the act of opting into a newsletter is Expressed consent in itself. However if you used any other methods other than the ResponseMagic sign-up form such as manually adding contacts or importing contacts. Its best to make sure everyone on your list has given you expressed consent before July 1st, 2017. So make it part of your practice to send your manual contacts a confirmation email get get their expressed consent.

3. Make Sure Future Emails Have the Following Information

Clearly state who the person or business is that is sending the message

Email Must identify the email service provider

Email must have a mechanism for people to unsubscribe from any email at any time.

Email must include a valid mailing address and email address. (you can also use telephone number or web address in replace of email address)

Note: All emails sent using ResponseMagic email marketing system will include the information above and will be compliant with CASL.

We just need you to make sure your contact information on your account is correct.

login to your responsemagic.com account.

click account

settings

update your settings listed and click update settings

I conduct my business from home. Do I need to disclose my home address to fulfill the identification requirements?

No, you do not need to provide your home address. You can provide another valid mailing address as long as you can be contacted at that address. Please refer to paragraph 9 of Compliance and Enforcement Information Bulletin CRTC 2012-548 for more information. Of note, that Information Bulletin explains that a mailing address includes not only a street address, but also a P.O. Box, rural route address, or general delivery address.

We look forward to helping make this a seamless process as time passes.

and the team at ResponseMagic.com

Once you begin to capture emails for your list of qualified subscribers, your next goal is to build a relationship with those subscribers and convert them to sales. Writing effective email content isn’t the only key to higher conversion. The act of sales conversion actually starts at the point on entry – the page and form with which you collect emails for your list.

The customer magnet page that you use to capture emails must clearly define a problem or pose a question that the prospect is seeking a solution or answer for. Your product or offer is the solution that you are going to be driving them to using your email follow up sequence. If you don’t clearly define this problem – solution connection to your prospect, they may have no clue what they are signing up for and your conversion can be easily lost to confusion. By getting your prospect to understand the problem and fill out your capture email form in hopes of a solution, you are setting them up with an expectation for an offer.

Prospects who are expecting a solution will be more open to your offer or product and are more likely to convert to sales. When you collect emails for your list, it is vital that you also clearly state on the landing page (thank you page) a clear idea of your offer and the solutions you are going to send them via email. This will strengthen their expectations and get them looking forward to your emails. By the time your email arrives with the solution, they will be ready to click on the purchase button.

The form you use to capture emails should have a headline that defines the problem, a sub headline that offers a solution and an easy way for them to give you their information, including the ability to fill out the form using Facebook’s easy integrated button. If possible, you should even give a short teaser video about the problem to help grab their attention. Response Magic has all these features built right into their form generator, and you can give it a try for free.

With the right form and approach, the way you collect emails for your list will increase your overall prospect to sales conversion rates.

In our previous articles, we discussed how to build a contact list, how to increase email deliverability and how to improve your email open rates. Now that you have a group of verified contacts, your emails are getting through and those contacts are happily opening your emails, you need to decide what you are going to email them. Today, we are talking about creating an effective email follow up sequence.

I’m not talking method in this post – I’m talking content.

By now, you should have your sending method down pact. In other words, you should have signed up for a free email autoresponder account through Response Magic, started using the tools and previous posts to begin building a quality list of contacts and letting Response Magic ensure your emails are getting delivered through their verified high-deliverability servers.

There are three very important factors to creating an effective email follow up sequence: frequency, content value and clicking through.

Frequency is the rate at which you choose to send emails to your subscribers. The correct frequency can vary according to the list and types of emails you are sending. If your subscribers have knowingly signed up for your ‘Daily Training Video’ mailing list, for example, then you would want to keep true to that expected frequency and time your emails to go out one per day. If your subscribers have signed up for an ‘Offers and Discounts’ type of mailing list, you don’t want to hammer them with daily offers that could begin to feel more like junkmail than valuable content. We also recommend that you set up the reader’s expectations for frequency both in the very first email you send them and in subsequent emails. This way, they know what to expect.

Content value is the reason your subscribers signed up in the first place. An effective email follow up sequence ensures that the content of your emails continuously provides value while following up with your prospects. You don’t want to have your capture form advertising a daily training video and then begin emailing them a bunch of advertisements instead. You can certainly tuck in an offer or two within the emails or in between value content emails, but you don’t want to alienate your subscribers. Making subscribers feel like they are not getting what they signed up for is a quick way to get them to flag you as junk mail and unsubscribe from your list.

Your first email to them should always:

Give a reminder of what they have just subscribed to receive

Set an email frequency expectation

Introduce yourself and your content a bit more

Give them a teaser of what they will be getting in the next email and when it should arrive in their inbox

Ask them to add you to their safe senders / contacts list so they can be sure to get all the great emails you are going to send to them

Subsequent emails should then follow up on the promises and expectations you have made for your subscribers.

Clicking through is the goal of your emails – the reason you are emailing them. It may be getting them to take part in a survey, purchase an item or join your team. An effective email follow up sequence will often have a much higher click-through rate because you are providing them with value content at a good frequencing, leading them to join your efforts or take you up on your offers. The best offers won’t seem like offers at all – they will seem like gifts, no-brainer decisions or a way for the reader to participate.

Remember, you aren’t just emailing subscribers. Your goal is to build a relationship with them and turn them into friends. You want them to expect and look forward to your emails, to enjoy and find value from the content you provide and to feel like they are clicking on a no-brainer ‘offer’ from a friend.

Email list building starts with creating a capture form and hook that works.

Here are 5 great email list building strategies that work:

Make it simple to sign up. You should make your email list or newsletter sign-up form ask as few questions as possible – usually just email is best. Asking for a bunch of personal information from a person is a sure-fire way to get them to not put in their email address. Once you have captured their email address, you can lead into gathering more information about them via emails that send them to more inquisitive forms, surveys and offers.

Make it easy to find. Your email list building sign up box should be in a very obvious place on your website, such as the top right-hand corner of the header. Having a bright colored box and an arrow doesn’t hurt either. You should also make sure you let them know what they are signing up for.

Put it everywhere. Once you make your email sign up easy to find and simple to join, include it everywhere you can. This means including your form on your blog, on every page of your website and as a link in every email you send. You can link to your main website, since you have made it obvious where the sign-up is, with a simple “Get more great news by joining my mailing list!” link. You can even put it on your business cards. Use the blank space on the back of the card to advertise that you have a mailing list and why they should join.

Give them a good reason to join. Yes, they are signing up for an email list, newsletter or offers list – but why exactly should they? What kind of awesome information are you going to be giving them? Do you have secrets on how to build a business? Do you have coupons on great products you can give? Are you going to provide advice on a topic that they simply need to know?

Respect their email address. They are giving you a piece of their personal information when they sign up on your list building form. You need to assure them that you will respect their privacy, only send them the information they are signing up for and that you will not be sharing their contact information with any third party service. This is just part of email list best practices. Then, of course, follow through with those promises. Be sure you don’t spam the people who give you their info. If you provide the value-content to them that you have promised, chances are high they will recommend your mailing list to others.

Following these 5 simple list building strategies can help increase your signups significantly. Building an effective form doesn’t require a lot of work, either. Response Magic has a built in email capture form templates that you can use to effectively promote your email list sign-up.

When you are trying to get the word out about your product or service, email deliverability is a huge factor. You not only want to be sure that your message is effective, but that your message is also reaching your intended audience. There are ten easy steps you can take to ensure your email deliverability is high and your message gets delivered.

Choose the right email sending program to handle your message sending. If you are sending an email to more than ten recipients at a time, you should be using an email sending program, such as an Autoresponder. Never send bulk email (sending to more than ten people at a time, either through CC or BCC) using your personal email client like Gmail or Yahoo. Doing so can get your account locked and deleted. Autoresponder systems, like Response Magic, are designed for sending bulk emails and have partnerships with email providers to allow for larger sends. They carry the weight of the sending so you can focus on the effectiveness of your message without worrying if you are breaking any sending rules of your email service provider.

Make sure your list is confirmed. Always send emails ONLY to people who have requested it. Make sure your list is clean and that each person has actually opted in to get your emails. For more tips on building an email list, click here.

Make your message’s purpose clear and avoid the hype. Use a strong, clear subject line that avoids spammy keywords that will effect your message’s email deliverability, such as ‘congratulations’, ‘earn money’ and ‘get cash’. The subject line is one of the first things an ISP will look at when they are determining where to put your email – the inbox, the junkmail or the dreaded black-hole of auto-delete. The ISP uses computers that search for keywords and phrases in the subject line, so you want to clearly identify your email’s purpose and make it sound like you really know the person you are sending to. Often times, a simple subject line is best, such as ‘Hey, NAME, just touching base…”

Protect yourself from abuse backlash. No matter how clean your list is, there will always be someone who forgets that they signed up to receive your emails and will submit a spam complaint to their ISP against you. This is where having an email sending provider, like Response Magic, can come in handy. They deal with all the abuse complaints for you and work with the ISPs to clear up any misunderstandings.

Segment your sending list. When sending your email, it’s best to narrow down who exactly you are sending to, through list segmentation, even when using a bulk send provider. Sending in narrowed chunks allows your message to be specifically tailored to smaller demographics, making it more effective. It also allows the sending program to further divide your email across more sending email servers, which greatly enhances email deliverability.

Always be consistent with your sending practices. This means using the same email address and sending program to send the emails, and sending the same types of messages to your audience. When you set up your autoresponder, choose the email address for your account that you would like to send from and stick with it. People will begin adding that address to their safe list, and the more times your email is opened when being sent from that address, the more the ISPs will identify your email address as being a safe sender.

Ask recipients to add you to their contact list. This helps identify you as a safe sender and insures your email gets into their inbox. It’s best to add this request to the top of the very first email you send and then to the bottom of every email you send there after as a small reminder.

Test before you send. Most don’t think about this – but it’s an important step for email deliverability. Sending just one broken email or an email with critical error in it can cause your future emails to be blocked or discarded by ISPs. Write your message and then send it to yourself. Test it to make sure all the images, links and personalization insert variables work properly. Also, make sure you track and understand the statistics of your previous email sends, as this will help you send effectively.

Format your email. Avoid overly long emails and avoid very short emails with more images and hyperlinks than text. These types of emails tend to trigger spam filters. You want to write a concise, balanced email, remembering that you have roughly five seconds to catch your reader’s eyes and get them to make a click-through decision. Typically, one graphic or no graphic is best, as most ISPs these days turn images in emails off by default. Put your key link near the top of your email and not hidden in the middle of text or at the bottom. The key is to get in, say what you need to get them to click, and get out.

Give readers a clear way to unsubscribe. I know what you’re thinking – ‘why would I want people to unsubscribe?’. Simple – if someone truly wants to unsubscribe from your list, they are going to find a way to do it. It’s best to make it easy for them than risk having them submit a spam complaint against you to your ISPs which will hurt the email deliverability to all those on your mailing list who still want to receive your emails. All email send programs, like Response Magic, are required to have a clear and easy way for the reader to opt out, and Response Magic handles all the opt-outs for you.

Just following these ten simple rules could greatly increase your email deliverability and getting your message to your intended audience.
